Job Title: Office and Employee Experience Manager – Parental Leave Coverage

Location: 100 Stone Rd W. Suite 203 (Guelph Head Office), 5 days/week in person

Job Description:

We are seeking an experienced and proactive professional to step into the role of Office and Employee Experience Manager during a parental leave period. This position plays a key role in fostering a positive and productive workplace environment by driving employee engagement, providing administrative support, and coordinating people-related processes. Working closely with leadership and cross-functional teams, this role ensures employees feel supported, informed, and connected.

Responsibilities:

  • Oversee daily operations of the office to ensure a smooth and efficient working environment.
  • Manage office supplies, equipment, and facilities, ensuring they are well-maintained and fully operational.
  • Manage the full recruitment cycle including online job postings, screening resumes, conducting interviews, and onboarding new hires.
  • Collaborate with department heads to understand hiring needs and create job descriptions.
  • Coordinate onboarding and offboarding processes, including documentation, orientation scheduling, and welcome communications.
  • Serve as the first point of contact for employee inquiries related to policies, benefits, and workplace resources.
  • Maintain accurate and up-to-date employee records in our company HRIS, including personal information, and employment history.
  • Ensure compliance with data protection regulations and company policies regarding the handling and storage of employee records.
  • Act as a point of contact for new employees, addressing any questions or concerns during the onboarding process and continued employee relations issues.
  • Address and resolve workplace conflicts, issues, and grievances in a fair and timely manner.
  • Assist social committee to organize events, activities, and initiatives that promote a positive work culture and employee engagement.
  • Assist in planning and coordinating company events, celebrations, and team-building activities.
  • Assist with updating company policies and procedures annually to ensure compliance with current laws and regulations.
  • Assist with internal communications, including company announcements, recognition, policy changes, etc.
  • Collaborate with external HR consultants and legal professionals to obtain support and guidance on complex HR issues.
  • Seek legal advice on employment law matters, ensuring company practices comply with federal and provincial regulations.
  • Actively participate as a member of the Joint Health and Safety Committee.
  • Provide general administrative support to leadership and executive team.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Experience in administrative duties, office coordination, event planning, and employee support.
  • Strong organizational, communication, multitasking abilities and interpersonal skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office Suite.
  • Some familiarity with employment laws and regulations.
  • Ability to handle confidential information with discretion.
  • Detail-oriented with a proactive approach to problem-solving.
  • Knowledge of occupational health and safety regulations and best practices.

Location: This position is remote.

Responsibilities:

  • Develop an annual sales strategy to achieve company sales and revenue objectives.
  • Build and maintain an active pipeline of prospect accounts.
  • Identify and build relationships with key decision makers.
  • Through a consultative approach uncover the customer's business needs and challenges to position our product as a valuable solution.
  • Confidently present and demonstrate Company products.
  • Manage pricing and contract negotiations.
  • Represent the Company at industry events and trade shows.
  • Prepare professional responses and submissions for sales proposals and RFP’s.
  • Work effectively with management and provide regular updates with respect to all sales opportunities through timely CRM reporting and regular updates.

  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks and benchmarking competition.

Qualifications:

  • 5+ years of consultative sales experience.
  • Experience with B2B (business-to-business) sales.
  • HR technology sales with a background screening, HRIS, HCM or ATS organization would be an asset.
  • Experience selling to HR, Procurement, Compliance or Recruitment.
  • A strong understanding, network and presence within a specific vertical.
  • Exceptional communication and presentation skills.
  • Confidence in negotiating client commercial arrangements.
  • Experience in the contracting process.
  • Exceptional customer service skills; able to deal with executive level personnel comfortably and confidentially.
  • Strong professional demeanour.
  • The ability to quickly grasp and communicate technical solutions to solve customer needs.

ISB is looking for a dynamic Office Administration and Information Specialist to join our team! This in-office role combines essential information specialist functions with key office administration tasks to support our operations.

Responsibilities:

Information Specialist Duties:

  • Process orders for background investigations accurately and efficiently.
  • Ensure the precision of reports and results delivered to clients.
  • Provide excellent customer service by answering incoming emails and calls promptly and courteously.
  • Maintain professionalism in interactions with ISB clients and vendors across North America.
  • Meet monthly and yearly goals and expectations.
  • Attend meetings, training sessions, seminars, and events as assigned by the Team Lead or Director of Operations.

Office Administration Duties:

  • Manage incoming mail and correspondence (both physical and electronic) promptly and efficiently.
  • Assist with U.S. marketing logistics, including coordinating event display cases (content organization both pre and post events).
  • Assist in the distribution and collection of IT assets in the U.S.
  • Send display cases and marketing materials to events, ensuring timely delivery.
  • Support general office operations and administrative tasks as needed.
  • Serve as the point of contact between U.S. and Canadian office.

Qualifications:

  • High school diploma or associate’s degree.
  • Previous experience in a fast-paced work environment is preferred.
  • Background screening experience.
  • Ability to work effectively with minimal supervision.
  • Warm and engaging personality with excellent communication skills.
  • Proactive attitude with a willingness to take initiative.
  • Proficiency in Microsoft Office applications, especially Outlook.
  • Strong multitasking and problem-solving abilities.
  • Prior involvement in inbound call settings or call center environments, ideally with a minimum of two years' experience, is preferred.
